The text report allows you to quickly extract all comments that your guests have left when replying to follow-up questions in the guest surveys. You can aggregate text feedback grouped by question or by guest. A simple way to share feedback per department/question with your staff members.
To retrieve a text report, go to the Reports tab and follow these steps:
- Under Common Searches: choose the correct time period.
- Click on Text Report in the top left corner.
- Under Report Settings you can choose how the answers will be sorted; per guest, per question or per guest in multiple columns.
- Choose Guest Meta Data: this is data that Loopon receives from different PMS/booking systems and therefore the fields can look different on your side. Tick the ones you wish to include in the report (example in the image below)
- Under Report Contents: tick the boxes for the questions you want to include in the report.
- Finally choose if you want the report as a PDF or Excel document.
Example reports:
1. Housekeeping report: the options in the image above shows an example of settings to create a Text Report for the Housekeeping Manager.
Under Guest Meta Data we have ticked: Arrival/Departure Date, Room Number and Room Category and Customer Name. These fields are all relevant to see which room the comment is for, the arrival/checkout date can help track who cleaned the room that day, which room categories are getting more positive/negative feedback etc. And the chosen questions are:
- How could we improve the cleaning of the room?
- How could we improve the standard of the room?
2. Restaurant / Food & Beverage report:
Under Guest Meta Data we have ticked: Arrival and Departure Date and Customer Name and Group Name. These fields are all relevant to see what day/days they had breakfast/meals at the hotel and the name/group names help you identify and maybe even remember the visitors who left a comment. By scrolling down in the Guest Responses, you also include conference F&B related questions. The chosen questions are:
- How could we improve the breakfast?
- How could we improve the food quality at the restaurant?
- How could we improve the service at the restaurant?
- How could we improve the bar?
